Minutes of the Annual General Meeting of the Loughborough and District Amateur Radio Club October 13th 2009

The minutes of the AGM 2008 were circulated and read. Proposed by G1KSC and seconded by G0LCU that the minutes were a true record of the meeting and should be accepted as such. There was a unanimous vote to accept the minutes.
Chairman's report(G8SNF) Read by G1ETZ:
Firstly I have to once again offer my apologies for not being able to attend the club’s AGM.
Yes, you guessed I am back in North Yorkshire, working again and I have been told to keep it short.
I would like to thank you all for attending this evening and also thanks to the rest of the retiring committee for their input during the last year.
I am sorry to have missed so many good evenings, whilst working in North Yorkshire.
The last couple of years have seen a number of changes to the club, with the change of meeting place and reducing from two nights a week to one.
I believe the club has been successful, but does need the SUPPORT of its members to continue being so.
Tonight is YOUR chance to air your thoughts and make suggestions for the club programme.
The future committee needs YOU, the members, SUPPORT to continue make the club successful.
In closing I would like to once again thank you all and I am willing to stand again if elected.
Treasurer's report(G1ZAR):
The 2008/2009 period shows a membership of 30 as follows:
26 Full members
3 Associate members
0 Family memberships
1 Honorary member
This shows a decrease of 3 from last year.
Two Affiliation Fees apply. One for the Glenmore Centre whose facilities we use and one for the Radio Society of Great Britain. A benefit of the RSGB affiliation is the provision of public liability insurance cover. They also provide a copy of the RSGB Yearbook.
Weekly room hire costs have now risen by 40p to £10.40 per night (as of March 2009). This continues to be a major part of our outgoing costs. We continue to claim back 50% of room hire charges back via the Shire Community Grant, which is applied for annually each April.
Current reserves will cover another year at normal costs, but we should be aware that we are not guaranteed to get the Shire Grant in April, and there is also the possibility of future price inreases in the room ire charge.
There are no reasons to increase subscriptions or nightly fees at present.
We hope that meetings on Tuesdays will be supported by more members.

Station Manager's report(G7SEG):
2009 has been a good year with no insurmountable problems. We have begun to encounter problems with antennas, which in most cases, has been their age leading to corrosion. The 2m and 70cm beams had holes in and the tubing had become so thin that the beams were beginning to be unsafe. They were scrapped. Their loss should not cause any problems as beams are available for any events that we may do. The HF multiband vertical has had a failure of one of the capacitors and the connections are corroding. It is currently being overhauled.
The club's major radios are all operational.
We have encountered some problems whilst runnng portable operations with with a generator. We need more practice!
The club has been able to set up access to the internet. We have a wireless router installed in the Glenmore Centre Office. It is hoped to fit a wireless card in one of the club's computers.
Please look at the equipment list and please advise of any ammendments to be made. If you can think of any additions we need to make or ways to improve the station, please contact the new committee.

Any other business:
1. G0LCU who is the licence holder for G3RAL asked if the meeting was happy for him to continue in that role. It was agreed that there was no reason to change the licence holder and G0LCU was happy to continue.
2. G0LCU asked about the possibility of the club having T-shirts and mugs for members to purchase. It was explained to him that G8SNF had arranged in the past to have polo shirts and fleeces manufactured. Many members already have them. He was shown an example of the polo shirt. G1ETZ also explained that mugs were not an option as manufacturers required a minimum order of somethng like 500. That was obviously not realistic as far as the club was concerned.
3. 2E0LEA asked about the suggestion made in 2008 about the possibilities of the club becoming a charity and thus being qualified for possible grants. It was explained that the club did not meet the criteria laid down by the Charities Commission. Also, we would likely lose the Shire Grant which we receive from the Leicestershire County Council as a result.
4. G4DZL raised the possibility of the old RSGB Yearbooks being sold off to members. It was agreed to let any member that wished to have them on the proviso that a donation was made to club funds.
There being no further business, the meeting was closed by the Secretary at 2023
